Privacy Policy

Unified Solutions is committed to protecting your personal information. This policy explains, in plain language, what we collect, why, who we share it with, how long we keep it, and what rights you can exercise. It is written to comply with Quebec’s Law 25 (An Act to modernize legislative provisions as regards the protection of personal information).

1. Who we are

Unified Solutions is a payment processing and point-of-sale (POS) solutions distributor based in Montreal, Quebec, serving merchants across Canada.

2. What we collect

When you complete our statement review form, we collect: your first and last name, your email address, your phone number (optional), your business name and business type, and any message you send us.

You may also upload a payment processing statement (PDF, JPG or PNG, 10MB maximum). That document may contain financial information about your business. Uploading is entirely optional. You can submit the form without attaching anything.

To prevent abuse, we store a cryptographic hash of your IP address. This hash cannot be reversed to recover your actual IP address; it is used solely to limit how many submissions come from a single source.

We never collect credit card numbers, banking details, or social insurance numbers through this website.

3. Why we collect it

We use your information only to: analyze your processing statement and prepare a rate comparison; communicate with you about your request; and deliver the services you ask us for.

We do not sell your personal information, and we do not use it for unsolicited marketing without your consent.

4. Your consent

By submitting the form, you consent to our using the information you provide for the purposes described above. That consent is free, informed, and given for specific purposes.

You may withdraw your consent at any time by writing to info@unified-solutions.ca. We will stop using your information and delete it, subject to any legal retention obligations.

5. Who we share it with

We do not share your personal information with third parties for commercial purposes. We do rely on technology providers to host the site and deliver our email:

• Supabase: database and document storage, hosted in the Canadian region (ca-central-1); • Resend: email delivery service, processed in the United States; • Vercel: website hosting, international delivery network; • Microsoft 365: our business mailbox, hosted in Canada.

Each provider can access information only to the extent needed to deliver its service.

6. Disclosure outside Quebec

Your information is stored in Canada. Your processing statement, if uploaded, remains in Supabase’s Canadian region.

Some information does travel outside Quebec. Notification and confirmation emails are delivered through Resend, whose infrastructure is in the United States, and the site is served by Vercel’s international network. Those emails contain your name, contact details and message.

We deliberately designed the system so uploaded statements are never attached to emails: only a secure, time-limited link is sent, and the document itself stays hosted in Canada.

7. How long we keep it

We retain statement review enquiries for twenty-four (24) months following our last exchange with you, so we can follow up on your file.

Uploaded processing statements are deleted within twelve (12) months of the analysis, or sooner if you ask us to.

After those periods, the information is securely destroyed.

8. How we protect it

Documents you upload are held in private storage that is not publicly accessible. They can only be retrieved through secure, time-limited links.

All communication with the site is encrypted (HTTPS). Database access is restricted and protected by secret keys that are never exposed to your browser.

In the event of a confidentiality incident, we will promptly take steps to reduce its consequences, keep a register of the incident, and notify affected individuals and the Commission d’accès à l’information where the incident presents a risk of serious injury.

9. Cookies and analytics

We use one functional cookie to remember the language you selected (French or English). This cookie is necessary for the site to work.

We also use audience measurement tools to understand how the site is used. These are only activated with your consent, which you can give or refuse using the banner shown on your first visit, and change at any time afterwards.

10. Your rights

Under Law 25, you have the right to: access the information we hold about you; have it corrected if it is inaccurate or incomplete; withdraw your consent to its use; request its deletion; and receive the information you provided to us in a structured, commonly used technological format (data portability).

To exercise any of these rights, write to info@unified-solutions.ca. We will respond within a maximum of thirty (30) days.

11. Person responsible for personal information

12. Complaints

If you are not satisfied with our response, you may file a complaint with the Commission d’accès à l’information du Québec, the body responsible for overseeing compliance with Law 25.

13. Changes to this policy

We may update this policy to reflect changes in our practices or legal obligations. The date of the most recent update appears at the top of this page. Any significant change will be signalled on the site.
